Computer Lab Reservations
This page contains information about how to reserve ICS computer labs for group use.
Four of the ICS labs have classrooms that can be reserved for use by an academic class or training conferences. Classrooms can be reserved for individual dates or for the same time for multiple weeks in a semester. Due to high demand for semester long classes, ICS begins processing reservations for classrooms approximately 3 months in advance. We cannot accept reservations submitted less than 1 week in advance. It is very important to submit semester-long reservations as far in advance as possible.
How to reserve a lab
ICS classrooms are reserved online with our Reservation System. Due to the high volume of reservation requests we receive every semester, it is not possible for us to process requests over the phone or via e-mail.
Any campus affiliated person can use our system to request a lab as long as they know their ICS password. If you need to set your ICS password, visit the CITES Password Manager.
ICS classrooms can be reserved for up to 2 hours per section request. If you require a lab for a longer period (a 6 hour conference, for example), you must make multiple sections. There is no limit to the number of sections a class can have, but the section names must be different.

When you have decided which lab you wish to use, click on the "Request Courses and Sections" link in the main menu of the Reservation System. You can then request a lab for a particular semester, or on a day-by-day basis. When you have completed your request you will receive a confirmation email from us when the lab has been officially reserved. If there are any problems we will contact you for more information.

Academic courses can reserve ICS classrooms for free provided the lab is open, otherwise a $10/hour staffing fee will be charged

Academic or University affiliated conferences can reserve ICS classrooms for $50/hour.

Software
ICS maintains a core set of standard applications for all ICS supported labs. These applications are paid for by ICS and will be supported at a basic level by all CITES/ICS Site Consultants. If a University of Illinois academic course needs a software application that is not on our list, that department/college must provide the software, complete with licensing, to ICS for installation.
Licenses must be turned over to CITES/ICS and may not be used by the department/college while CITE/ICS has that software application installed. Licenses will be returned to the department/college when the class is completed and the software has been removed from our servers. Class software installed will remain on the servers during the Fall/Spring semesters. ALL class software is removed during the summer (unless needed by a class for the summer). A new request for software installations must be made every year.
If an application is needed by a small number of classes but will not be part of the supported list, then ICS will work with the individual departments to provide that application. However, ICS will not buy software for individual classes.
Software installations can take two weeks to complete because ICS has to ensure that all software packages installed do not interfere with each other. To make a request, please contact us via e-mail (reserve@ics.uiuc.edu)
